Has anybody found a simple almost automatic way to use MC to remind alcolytes that they are scheduled for the upcoming Sunday?

Hi katko,

If you have created a group for the Alcolytes in MemberConnect, you can create an reccuring event (in the calendar) and set reminders for everyone in the group.

The problem with sending an e-mail that way is that everyone in the group (or all the selected participants) get the email every week, whether or not they are serving.

We can make it a recurring event, with the names of the participants in the title of the event, and then edit the title for each occurrence, but we still would end up emailing all participants each week. It seems that the title can be edited for individual occurences, but the participant list stays the same for the series.

We're trying to do the same sort of thing with several different groups of worship participants, like worship leaders, musicians, ushers, accompanists, sound tech, video tech, and then offering counters from our finance board, and nursery workers scheduled by our CE board.

What other options can anyone think of to streamline this process?

Hi cholden,

You can edit your participant list for recurring events. You have to select "Only the following group members participate in this event:" option, in order to change the list.

(To select everyone in the group, without having to click on everyone individually, click the first person, hold the shift button and click the last person - this should highlight everyone on the list; then click the Add button.)

After saving this change, you can then go back in and edit your participant list to remove those members who are not serving.

Yes, I understand that part. The problem comes when two participants need to switch places to accommodate personal schedules. I can modify the title of the event for just those two individual events, so the right information appears on the calendar, but any notifications still go to the original participants.

Hmmm... maybe instead of modifying the title from "Counters: Randy & Eleanor" to "Counters: Randy & Mark", I could change it to "Counters: Note Schedule Change" and then add a one-time event titled "Counters: Randy & Mark". Randy and Eleanor would still get the reminder of the first event, but Randy, Eleanor and Mark could all be participants of the second event.

This could work or you can create a new one time event for every week.
